    Customization for Tables and Screens

    Hello,

    In Quickbooks you can add "Custom Field" (For example Sub-contractor, Claim #...) in the Additional Info section for a custom, vendor or emmployee. These then become a "field" in the respective tables. What I'd like to have the fability to have the "Sub-contractor" field be a drop down with the choices of any Sales Rep I have entered into Quickbooks. I have both a Sales Rep and a Sub-contractor that I need to be able to pay commisions to so I can't just use the Sales Rep for the Sub. 

    I have watched the webinars under customization for table and screens and it seems like I should be able to link them but I have no clue based on the videos how to do this. Is it possible to link the custom field created in Quickbooks to an existing filed (Sales Rep) in Method and have that be a drop down of the choices from the existing field (Sales Rep)? In other words, can I have Subcontractor show up on a screen with the drop down choices of Sales Reps?

    Any suggestion are very much needed and appreciated.

    This can't be done as that data is sent to Method as text, not as a dropdown field.

    Yes, you can create a custom dropdown field in the table you want it to show up in, i.e. create the Subcontractor field in the Invoice table, then customize the Invoice screen to show that new field.

    When you're creating the new field you can link it to the SalesRep field and choose the Initial field to show the choices.

    Hi Ashur,

    Thank you for your help. I created the new field Sub in the Customer table and added it to my Edit/New Customer screens. All good here.

    Can I some how associate or push that information chosen for the sub-contractor to the custome field in quickbooks with Actions? Also, is there a way to get the Sales Reps' and Subs' name to show up instead of initals in the dropdown?

    No, unfortunately QuickBooks is limited in what can be customized, which is why CRM's like Method exist Smile Adding new custom fields to the Add/Edit Customer screen from Method into a QuickBooks screen is a platform limitation, you can however customize things such as Invoices Templates. What are you looking to do in QuickBooks with the new custom fields? If you're looking to create/print invoices/sales orders/estimates/etc then your best bet would be to use Method instead.

    There may be a way to perform this in Method but it would involve a fair amount of customization due to the way the information is stored and displayed, it definitely wouldn't be as simple as linking to a field in another table. One simple wayou can do this is to use shortened names in your Initials field instead of the Sales Rep's actual initials, however, the initials field in QuickBooks can only hold a maximum of 5 characters. If you go this route you can change the Sales Rep's initials in either QuickBooks or Method then perform a Full Sync once everything is done.

    Okay, what I am trying to accomplish is a way to track everyone associated with a customer. Our Sales reps and Subs get paid a percentage of the invoiced amount for the customer and we need to know who gets paid for a given customer. 

    Any suggestions?

    So then you're using QuickBooks for the accounting portion correct? 

    Will these Sales Reps and Subs always be associated with the same customer, will there ever be a different sales person or sub associated with a different job/work order for a customer?

    Yes we will be using Quickbooks for the accounting portion. 

    As far as the relationship between the Sales Reps and the Subs go, I will try an give you enough detail for a foundation.

    We will have several Sales Reps and each rep will have several Accounts (Acct).

    Our Acct will provide us leads. 

    Those leads will be assigned to a Sub. At this point with some magic happens, and the lead becomes a customer which usually involve one transaction.

    So, the sales Rep gets the Acct which provides us leads, which then go to a Sub, all of which gets a % of the invoice.

    So it could go like:

    Sales Rep1 > Acct1, Acct2, Acct3

    Acct1 > Leads1 > Sub 1 or Sub2 or Sub3 > Customer

    Acct1 > Leads2 > Sub 1 or Sub2 or Sub3 > Customer

    Acct2 > Leads3 > Sub 1 or Sub2 or Sub3 > Customer... etc.


    If Sales Rep1 leaves then Acct1, Acct2 and Acct3 will be assigned to Sales Rep2 and the same would apply to if a Sub leaves, their customers would be reassigned to a new Sub.

    For a given transaction, the Sales Rep, Acct and Sub (in general) should stay the same for a given customer. But there will be many combinations of Sales Rep, Acct and Sub that could be assigned to a given customer. We basically need to reverse engineer the parties involved for a given customer and get them paid based on that customers invoice(s). I need an easy way to track who was involved with any given customer because each are paid a % of the final customer's transaction.

    Seems like you know exactly what you want, however from what you've described your best bet would probably be to use Method for all the customization. QuickBooks is not too customizable and if you choose to use it for the Accounting portion I'm not sure you would be able to get what you're looking for, i.e. custom Method fields sent to that QuickBooks screen. I would suggest speaking with one of our consultants first, even if just for a half hour, before investing a lot of time into this undertaking so that you can detail and scope everything out to determine the best course of action.
