    Work order annual postal reminder

    Hi,

    I am a new user and  looking for a point in the right directon with this problem. I have tried various methods but now seem to have confused myself.

    This is my scenario...


    I carry out annual and biennial servicing jobs to oil boilers. The customer is posted out a reminder postcard about two weeks before the date of the next service. They then call me to arange a day and time for that years service.

    I would like to have either an  email sent to myself or some other way via the calendar maybe to remind me to post the postcards out to the customer. I can not just add the work order as recurring because the jobs are spread over a whole county in Ireland and so I need to group my work to cut down on travel time and expenses. maybe over a ten day time period. I need to have the jobs as work Orders so I can link them to the customers equipment. At the moment I have tried adding the job as a single occurance work order, and then adding a recurring To Do event dated two weeks before in the crm module to remind me to post out the postcards. This seems like a pain.

    Is there an easier way of doing this that I am missing?

    Any thoughts would really be appreciated

    Hi Mike,

    Just so I understand correctly, you are creating work orders for the servicing jobs already, correct?  

    What I am envisioning is that you can customize the work order screen to create a follow-up activity for yourself to send the postcards.  All of the relevant details of the post card activity can be gathered from the original work order and set to two weeks before the next date of service. You could also use the "Cause Reminders" option for the Activity Type (create a new one for your post card activity) and setup Automatic Reminders to get an email reminder.

    To group the work orders, perhaps you can use a custom field or tags to group each customer by a specific region. This whole project will take a bit of customizing, but it wouldn't be as complex as it may sound.

    At a stock level, there isn't much you can do that would match your workflow and reduce what you're already doing.  A work order is an activity, so if you showed it in the CRM, you can create a follow-up from there for your post cards.  This would be similar to what you're already doing with the To Do event.
