    user record restriction

I created a new user in my account (there are two total) and have started assigning customers to him.  However, when I log into his account he can see all records.  When the filter view for My Customers/Leads is selected, the one assigned to him appear.  When the filter for Shared is selected, all records are visible.

When I set up his user account on page 6 of 10 "Access to Shared Record" I have the "Share all Records" box unchecked.  The 2 boxes below are checked but I've tried it with them unchecked and gotten the smae results.  In the dropdown box I have it selected so that my user can access his records.

I have this same setup in another Method account and it seems to work fine.  Why can this user access all records and not just those assigned to him?  What setting do I need to adjust?

    Thanks, Shaun

Is there a way to share certain customers between users.?  I want to figure out the problem mentioned above so the user can't view all records.  There are certain records that I'd like to share between users.  My business is such that 1 "account" will have multiple customers (contacts).  Those contacts can be assigned to multiple sales reps.  Thanks.

Hi, at step 1 of 10 "Access to Shared Record" you need to link Employee/Vendor/OtherName(SalesRep) and at step 6 of 10 you need give access as required to this user.  Step 6 of 10 "Access to Shared Record" for the original user you need to unselect share all records and apply full access to see the other users account.  Note both users need to be linked to a Employee/Vendor/OtherName(SalesRep).

Thank you.  I created an employee for this sales rep, linked him in step 1 of 10, have set the right filters and checked the right boxes in step 6 of 10, and when I login to his account, he can still see all records.  Please help.

    Answer

Right now this isn’t possible.  If you need two users to be able to access a customer you can give them access to each other’s customers.  This option would require you to change some setting at Step 6 of 10 "Access to Shared Record".

    Re: user record restriction

If I divide a customer into 2 sub-customers, could this be a work-around.  The main customer and 1 sub customer would belong to user1, the other sub-customer to user 2.  The contacts within that customer could be assigned to each of the sub-customers.  could this work?

You can have sub-customers of sub-customers both in Quickbooks and in Method, correct?
