    Using Teams

I'm a new user, trying out Method to see if it will be a good fit for my company. I've been watching the webinars and trying out the different things they're talking about. My concern right now is that I can't figure out how to actually USE the teams I have set up. I have 3 set up right now, assigned to different users.

How do I use the teams on the work orders? How do I get the enter time portion to fill out automatically. When all is said and done we will have a ton of teams assigned to 2 team leaders (users). I have 12 employees at the moment that all work with each other on different jobs, 2 at a time. I'm fine with having all of the teams but want to be able to choose which team under which User will show up in the enter time section. I don't have a "use default" button on my enter time form.

I hope this is making sense to you, I'm just really frustrated that I can't figure this out and it will be imperative that I have this function to use Method within our company.

    Hello ElginMaid!

I'm assuming you're using the Field Service Operations.

In order to get the default teams set up you have to do things in a particular order.
You probably did this but make sure that you "Edit Team Member Defaults"
       - You can find this in Time In/ Time out tab when you edit a Work Order
       - Remember to set the Team Lead and fill in the other employees.
Once the team members are set, this is the order to create a Work Order:

    1. Fill in the required fields. Make sure that "Assigned To:" is set to the Team Lead.

    2. Under the "Tasks and Materials" tab, create a "New Job Item" and then "Update" so that the items get saved.

    3. Under the "Time In / Time Out" tab, select the Job Item.

Choosing "Assigned To:" is also choosing the Team Lead. The team that person is leading will be filled in automatically in the "Time In/Time Out" tab.

I hope that makes sense and please feel free to ask for more clarification!

    Re: Using Teams

Thank you for your response! I see now what I was doing wrong. As a follow up question, can a team leader be assigned to multiple teams?

For example on Monday Rosy and Lou are scheduled to clean 3 homes together and Debbie and Linda are scheduled to clean 2 together. Both teams have Alaina as their team leader (User). I would like to be able to easily choose which team to be prefilled. I know how to set up multiple teams but not how to choose which team is assaigned.  On Tuesday it may be Linda and Rosy working together, yet another team...

    I hope that makes sense.

    Answer

    Hello Heather,

    Yes, it makes sense.

Unfortunately, from the stock screen provided, there is no way to select another team if one person is the lead of more than one team.

    However, this can be customized.

One could create a copy of the AddEditWorkOrder screen and in the "Time In/Time Out" section you could add a drop down list.

In the drop down list you can have the different teams, and by selecting that team, you could populate the Employee/Vendor fields.

    I hope that helps!

    Re: Using Teams

Hi again Errol. Thanks so much for your help so far! After some playing around I figured out how to create the new drop down and even get it to populate with the Team name info.

I hope this is my last question....how do I get the employee names to auto populate into the employee/vendor fields using the info from the new drop down box (New drop down lets you select a team, I want the 2 teammembers to show up in the employee/vendor field)

    Answer

    Hi Heather,

    That's great!

To populate the employee vendor field, you will need to use one action but for each field (Employee1, Employee2, Employ3... etc.) and these actions will be on the Event: 'Text Change'

The action you will need is the "Retrieve Value From Table" action. You can set it up for each employee and it look like this:

    I hope that helps!

I am trying to do the same thing, but when I get to step 2 (criteria) in the action the select team option is not one of the options in the dropdown menu

    Re: Using Teams

    I think I got it.

Now lets say I have a team with Carlos team lead, and Pedro second member, when I assign the work order I will assign it to Carlos, and when I enter the job item in the time in/out section will auto fill the employee/vendor 1 with Pedro, Didnt event get to choose the team yet. Is this the way that should work?

    Answer

    Hello Marcelo,

"Select Team" was my customized Drop Down Object that I made to display and select my team names. You would have to replace that with your customized Drop Down Object you made.

Is it one action per field?

    For example

Employee/vendor1 will have one action and then I will do the same for the others?
