Inventory batch numbers and expiry dates

    Inventory batch numbers and expiry dates

    Is there a simple, efficient way to keep track of batch numbers and expiry dates for received inventory in Method? We don't use advanced inventory in QuickBooks.

    I assume this would involve the "Item Receipt" screen? However, when I view the method stock screen I don't see any history of received items? I would have thought I would.

    Also, I'm not sure if syncing data to QB is paramount. I just need a couple of fields to track batch numbers and product expiry dates.

    Hi Mike, 

    I believe in Quickbooks you need Advanced Inventory to track batch numbers, and if I'm not mistaken I don't think Quickbooks supports expiry dates at all. For this reason, it may be best to make a couple of custom fields in Method in the ItemReceipt table. Although these new custom fields would not sync with Quickbooks (unless they are Quickbooks custom fields), your entries into the ItemReceipt screen will sync.

    I'd like some further clarification here, as there's also an ItemReceiptLineItem table.

    Each shipment that the company receives contains multiple products, with different batch numbers and expiry dates. When a shipment is received, items and quantities are entered in the sub-table in the "receive inventory" screens in QB/Method. I would like to put "batch number" and "expiry date" as columns in thos sub-tables, just like "quantity" or "description". So I added "batch number" and "expiry date" as columns in the ItemReceiptLineItem table. But when I go into the "Items" grid on the "Item" receipt screen and try to add my new columns, they are not available to be selected. This doesn't make any sense to me: the grid is based on the  ItemReceiptLineItem table and I added the fields. Why can't I add them to the Items grid?!? It wouldn't make sense to have the 2 columns in the "ItemReceipt" table, as each item in the sub-table may have differing batch codes and expiry dates, just as they may have differing quantities.

    Hi Mike, 

    Your logic seems correct and I was able to achieve this the same way you explained it. See my final result below:

    Is this what you are trying to achieve? My only suggestion would be to confirm that your new fields are actually in the ItemReceiptLineItem table (not the ItemReceiptLineExpense table), and that you are in fact editing the ItemReceiptLineItem grid. I would also try to Save & Close the screen if you have it open in the screen designer, and then reopen it. If you have double checked everything and believe there is an issue on your account, let me know and I can take a look at it.

    Of course - wrong grid. How stuipd of me...

    While I'm here I have another question:

    Yesterday I tested receiving an item and it showed up in QB and in the sidebar grid on the Receive Items screen. But none of the historical (real) received item entries that were received in QB are showing up in the sidebar grid. Should they not sync from QB when I open the screen in Method? Like I said, it works one way, from Method to QB, but not the other way (at leadt historically). I suppose I'd need to test a new one in QB, but I'm not sure it will show up.

    And I forgot to say - the ItemReceipt table in Method is empty.

    Mike,

    It should sync both ways. If you test it out and find that Item Receipts do not sync from Quickbooks to Method, feel free to give our support line a call and we can investigate.
