Contact Name

    Contact Name

    I want to add the name of the contact from a customer, to which the email is being sent, to the email template for estimates and invoices.  What is the field name called?  

    Also, what is the field name called for the vendor contact?  I want to do the same with the purchase order email template i created.

    Hi DavidD-

    The easiest way I know to find out what the field name is for any particular piece of information is to export that table and see the data in each column.  The column header is the field name.  Go to the Customize tab and click on Integration Tools, to find the Import/Export tools.  Just viewing the list of field names for a table may be enough information for you to figure out what field you're looking for (without having to go through with the export) but if you want to be absolutely sure you have the right field, go ahead and send the data to a file that you can look at with Excel.

    David - You can look into merge fields which grab data from a particular field in a table. For example, using the Customer.FirstName merge field will display the appropriate customers first name in the email in place of that merge field. Customer representing the table, and FirstName representing the value held in that field for the screen active RecordID.

    Check out the Automatically Merged Fields section of our Help Center article for some more info. Another thing you can do is make a copy of the CRM_NewActivity screen, then edit the screen and check out the actions in the first Save button on the screen. Look for the Character Function actions where you'll see the merge fields being made available to be utilized on an email template sent from that screen.

    David - The field name for the Vendor contact is Contact. So if you utilize this as a merge field for your email template, you should type it out as Vendor.Contact. Again, to get a better understanding of the names of fields in tables and the data stored within them, Mary's suggestion is the best answer. Simply export the appropriate tables using our Import/Export tool and review the data in the CSV file.
