    Portal Tables

    We have created a portal for our distributors but I have noticed that grids will not display data from a QuickBooks table unless it is linked to the portal entity logged in. If you create a portal screen and a grid which displays a few fields from the Items table in QuickBooks (for example, an item name and the quantity in stock), items will be visible while logged in with a normal account but the grid rows will be empty when logged in through the portal even if there are no filters applied to the grid.

    However, if you create a new table and copy all data from the Items table to the new table, then create a grid in the portal screen based on the new table... the data is visible. It is very exhausting having to duplicate tables (dump QB data into a custom table) just to have info available in a portal session. Is there a way to remove the portal filters on certain screens or a certain portal?

    Hello Mike,
         You are right that the grids already in the contacts portal (the default portal) have filters that display only the records for the user logged in.  I want to give a little background.  The logins are based on the contacts table and for a transaction to display in the grid, the user has to have transactions attached to the contacts record they have used to create the portal sign-in.  There are no filters on the OnScreenLoad action in the Advanced… options to filter out records.

       Here is an example of the filter on the transaction grid.  


       Can you post a screenshot of any filters you have on your item grid?  It should display all items when you have no conditions on your filter.

    I have a screenshot but I don't see where to upload it other than a URL...

    The filters for the Items table are:

    1. ItemType is equal to Inventory

    2. IsActive equals yes

    Is it possible to allow portal users to view the inventory table when it is not linked to the contact/customer record ID? This is NOT for a contact to view an invoice or a sales order receipt - this is for our distributors to view the available inventory.

    Hello Mike,

           Unfortunately, you do need to have a program like Imgur to post screenshots onto the forums through a URL.

        The filter looks fine.  I'm not sure why it isn't displaying the items.  I tested this on my own account.  I created a brand new screen that is based on the Item table.  Then I added a Grid object to the screen and added my columns.  From here I can add filters to filter out only Inventory items.  There isn't a filter on the page that links to the grid and only displays linked items to the login table being used.  I can recommend either speaking with a Method Partner or our consulting team to help you with the grid.

    Hi Greg,

    Thank you for your help. When I add the screen to the portal page (as you did) I am able to see everything in the grid perfectly fine when I am the user logged in. However, the grid is empty if I log in as a contact through the portal.

    Could you please verify that your grid is visible in a portal session and not just while logged in under a normal account? I am using the link under Customize->Portals->Get sign-in page web address...

    Hello Mike,

       I am able to get the grid going with a normai login. 

    How are the filters done on the grid?  Are you hiding the filters and do you have multiple filters with a default filter?

    Hi Greg,

    I cleared all filters and only had 'FullName' in the grid and it was still empty in a portal session. However, when I was logged in under a normal account everything was visible.

    I noticed that the screen's base table was "Items" and the grid was as well, but the grid was "Attached". I deleted the grid and added a new one that was detached and everything now shows up in the portal session.

    Do you know why an attached grid would have visible items in a normal session but not a portal session? Kind of odd but it's working now. Thank you for the help.

    Hello Mike,

         "Attached" gives you the options to sort through tables that are linked to the screen's table.  Here, we have Item as the screen's table.  Any table linked to the Item table will appear in the "Attached" dropdown.  The option looks to make it easier to create filters for your grid. The "Detached" is to find any table that is not linked to the screen's table.  This is the 'everything else' option.   I looked and I did use Attached. for my Item grid.  I wouldn't think that choosing Attached would put a filter on the grid.

       You may have had some setting in the background turned on and didn't know it.
