    Report Designer Help - Invoices

    Hi,

    I am trying to find the field that will bring a total account balance into my invoice. For example, right now we use this in QB.  
    Rather than send out individual statements, our QB invoice bottom shows:

    Invoice Total
    Payments/Credits
    Customer Total Balance

    I can't find the Customer Total Balance in the Method field list, in Report Designer.  

    Make Sense?

    Hi Suzanne,

    You can do this by adding the Balance field as a linked field in your Invoice table, then add that field to your report. This will pull the balance from the Customer table. Is this what you're looking for?

    Hi Ashur,

    That worked great, and yes it was very easy.

    Now I have another question.  How can I manage how many decimal points it goes out, and add a dollar sign?  I'm probably missing the obvious...sorry.

    You can do this by selecting the appropriate field on your report and clicking the little white arrow icon that displays on the top right. Locate the Format String field and click the '...' button; from here you'll be able to select how your data will show or even create your own custom format.

    My example below displays the dollar sign then the value in the field up to 2 decimal points, e.g. $256.29. *Note: Method calculates this field to 2 decimal points so if your Format String shows 5 points, e.g. {0:$0.00000}, the latter three digits will display as zero's. Hope this helps!

    Okay I think this might be the last question regarding our invoice template, but this one might be a big one!

    My goal:   To have the invoice print the Invoice Short Description for our services.

    Problem:   Not all our services have a short description

    Is there a programming functionality that will allow the Short Description to print, if the field is populated - but have the Item Description print if the Short Description field is blank?

    What are you referring to when you say Invoice Short Description? Is this a custom field? Something like this would be possible, however, you would need to speak with an in-house Consultant or one of our Method Solution Providers as it goes beyond the scope of the forums.

    Hi again,

    Yes, it seems that the Invoice-Short Description may have been a custom field, added thru Quick Books.  For now, we will not move forward with customizing the functionality to that level.  But I would like to use that field in my invoices as is.  I dragged it in, but it's not working properly.

    Goal:  The work order items to flow into an invoice and show the Short Description we are discussing

    Problem: The work order date and quantity flows over correctly, but the Description seems to be just the first one listed on the work order.  I tried to create an example below:

    The Work Order will say:

    3/27   1   Outdoor Lighting Maintenance

    3/28   4   Lawn Cuts

    3/29   3   Hours of pruning

    The (incorrect) Invoice will say:

    3/27   1   Outdoor Lighting Maintenance

    3/28   4   Outdoor Lighting Maintenance

    3/29   3   Outdoor Lighting Maintenance

    Understand my dilemma? I'm guessing there is some property on that field that I am not addressing.  Any help would be appreciated.
