Customer/vendor/Employee/Other name already in use

    Customer/vendor/Employee/Other name already in use

    When trying to update a sales rep dashboard that shows sales by customer, I get the error message in yellow:"This customer/vendor/employee/other name is already in use" with no indication on how to fix it.

    This is very frustrating - please help. I can provide further detail if necessary.

    The only thing I can say is that my sync settings are "Most Recent Wins" and in Resolve Conflicts, I have 2 entries for 2 customers that are: "The DesktopSync Engine modified the customer/vendor/employee/othername ''XXXXX', which was modified in QuickBooks on 11/25/2012 4:11:02 PM (actually 11:11:02 AM, 5 hours behind, but that's beside the point).

    The action associated with updating the report loops through the customer table and sums up subtotals from invoices over various time periods. This is not a case where I'm creating a new customer. Perhaps a newly-created customer is causing the problem, but there's no way for me to know. The action is interrupted quickly and there's no indication what name is causing problems.

    Hey Mike,

    First confirm whether a duplicate exists or not. Do this by exporting the Entity table. Open the file in Excel and then show all duplicate records in the FullName field. If a duplicate exists, you've found the cause of the problem and need to address it appropriately. If a duplicate doesn't exist then, we'll need more information.

    There is one duplicate, but one is a customer and one is a lead. We've had issues converting leads to customers in Method.

    Do I delete the lead entry?

    There are activities associated with the lead. Would I lose those?

    As a temporary measure, I tacked on "Lead" to the end of the Lead entry that was one part of the duplicate entry and that wppears to have worked.

    However, it would be preferable for me to try to figure this out myself instead of waiting, but there was no way for me to do so. Nothing to check/test, no indication of the source of the error. Also, having field mapping available would be ideal. ie. which fields in which tables are mapped to Method Screens and to QB? That would be immensely helpful.

    Yes if you delete that lead, the activities associated with it would be orphaned. If you would like to keep the activities and other records what you can do is rename that lead, e.g. Mike B2, and convert it to a customer, then merge the two customers in QuickBooks and perform a Full Sync. *Note: When you merge customers in QB, the Method contacts of the customer being merged are lost. For example: if you merge Mike B2 to Mike B, the Contacts you had listed for Mike B2 in Method will not be copied over, so make a note of them before doing this. If you don't know how to merge two customers in QB then I would recommend either speaking with a Pro Advisor or looking it up on Google.
